JOB SUMMARY:
The Office Manager, reporting to the Manager of Operations, manages the day to day operations of a multi-specialty dental practice. Responsibilities include oversight of fiscal, administrative, and compliance activities, as well as management of the clinic staff. The Office Manager is responsible for developing and meeting practice service standards, as well as productivity and financial goals while exercising independent decision making, judgement and resolving problems that are central to the clinic operation.
PRIMARY JOB RESPONSIBILITIES:
- Oversee and coordinate all day to day practice and administrative activities within the clinic.
- Directly manage clinic and administrative support staff to include hiring, termination, performance management, training (non-clinical) and development, work allocation, and problem resolution.
- Oversee patient care activities, ensuring compliance with all applicable regulations, policies, and clinical standards.
- Manage all aspects of demand for care, including participation in the development of marketing and outreach strategies to increase patient volume and the recommendation/recruitment of additional staff to meet the increases in demand for care.
- Oversee all clinical facilities and resources and ensure clinic compliance with all safety, environmental, and infection control procedures and protocols; coordinates processes related to clinical accreditation and quality management of services.
- Develop record keeping procedures and manage appropriate department records in accordance with applicable regulations, polices, and standards.
- Oversees all aspects of the clinic’s business operations, including daily oversight of front desk and business office operations and workflow. Review, track and report on key clinic performance measures, including monthly gross charges, revenue and expenses, number of visits, number of clinic days, individual provider productivity statistics, overall clinic revenue per clinic day, and collections.
- Participate in the development of operating goals and budget objectives for the clinic; recommend, implement, and administer strategies and action steps to enhance operations and ensure financial and productivity goals are met.
- Coordinate and conduct regular clinic staff meetings in partnership with the clinical lead (provider), which will include feedback on departmental performance in meeting financial, strategic and productivity goals.
- Develop and implement strategies to foster both teamwork and accountability among clinic staff and providers.
- Other duties as assigned.
JOB REQUIREMENTS:
- Minimum of 1 year of supervisory or management experience in a dental clinic or office
- 4-year college degree or comparable experienced required, preferably in a dental/healthcare setting but not required.
- Strong organizational, prioritization, and decision-making skills
- Ability to communicate effectively, both orally and in writing
- Ability to maintain quality, safety, and/or infection control standards
- Ability to manage and train employees, including organizing, prioritizing, and scheduling work assignments.
- Knowledge of fiscal management principles and procedures.
- Ability to make effective administrative/procedural decisions and recommendations.
- Skill in the use of computers, window-based operating environment.
- Strong interpersonal skills and ability to work effectively at all levels in a collaborative team environment.
- Ability to manage clinic operations to meet OSHA, CDC, ADA and HIPPA standards.
PHYSICAL DEMANDS:
- Work involves considerable exposure to unusual elements, such as extreme temperatures, unpleasant odors, and or loud noises.
- Moderate Physical activity. Requires handling average-weight objects up to 15-20 pounds or standing and/or walking for more than 4 hours per day.
- Will work with blood or blood-borne pathogens and will require OSHA training.
- Work Environment involves exposure to potentially dangerous materials and situations that require following extensive safety precautions and may include the use of protective equipment.
