Position Summary
Provide administrative support to for the Nursing Recruitment/Human Resources Office. This position provides administrative coordination and support of daily operations of the office including contact with our applicants, staff, and hiring managers and behind the scenes administrative responsibilities.

Position Responsibilities
  • Coordinate job shadows with applicants and potential candidates and maintain compliance with related hospital/departmental policies.
  • Work with recruiters to schedule interviews with applicants and Nurse Managers. Make directional maps given to interviewing applicants.
  • Review reports, conduct audits and summarize information as requested related to onboarding activities for newly hired staff.
  • Support departmental and unit based recognition activities such as submitting staffing numbers for hospital-wide events and distribute associated tickets.
  • Develop and distribute meeting agendas, take minutes at staff meetings and distribute after sessions are held.
  • Maintain personnel file log and name change spreadsheet
  • Maintain Nursing HR email inbox and outlook calendar
  • Maintain Department of Nursing directory
  • Update DON display cases (i.e. recognitions and Magnet) as requested.
  • Provide coverage at the front desk as requested
  • Assist with personnel and education file maintenance including uploading documents to staff members’ e-personnel file.
  • Complete degree verifications.
  • Maintain orientation prep spreadsheet and prep ID badges.
  • Assist with recruitment event planning and implementation.
  • Assist staff as needed.
  • Order new supplies as requested
  • Develop and revise departmental informational materials for distribution such as recruitment materials, social media posts, etc.

Education or Equivalency Required
  • Bachelor’s degree in Business Administration or related field or an equivalent combination of education and experience.
Required Qualifications
  • Some (6 months – 1 year) administrative, office coordination or financial experience.
  • Excellent written and verbal communication skills.
  • Excellent interpersonal skills. Role models service excellence.
  • Must be proficient in Microsoft Office suite (Word, Excel, Power Point)
  • Excellent organizational skills and ability to prioritize work in a fast-paced office environment.
Desired Qualifications
  • Ability to analyze data and apply critical thinking skills.
  • Previous experience working in a health care setting.
  • Previous experience working with service excellence/customer focused environment
  • Knowledge of University of Iowa policies/procedures
