Minimum Qualifications:
- 2 Years of Clerical Experience
- Skilled at using a personal computer to accurately input and retrieve information
- Ability to ask clients for financial, medical, and household information in a courteous and efficient manner
- Ability to maintain 100% client confidentiality both on and off the job
- Ability to be at your workstation on time on a daily basis to process clients scheduled for services
- Work a flexible schedule. Some days may start at 7:30am, other days may end at 6:30pm
- Florida Department of Health is required to work before, during, and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs shelter or performing other emergency duties including but not limited to, response to or threats involving any disaster or threat of disaster man-made or natural.
- Ability to work well independently, demonstrate good organizational skills and accurately complete reports within a deadline
- Actively participate in a team, providing oral and written communication and complete workgroup assignments
Preferred Qualifications:

This is a highly specialized clerical position for the Special Supplemental Food Program for Women, Infants and Children (WIC Program). It involves duties and responsibilities with the objective: “Making a difference in family health by teaching positive, healthy choices, providing nutritious foods, breastfeeding support, & making referrals to prevent health problems”.
The work requires independent decision making and excellent technical skills. The incumbent is expected to fully analyze a situation before making a decision while paying attention to details then take action to achieve goals. Work products are completed accurately and in a timely manner. The position requires excellent skills in customer service, effective communication, computer, and time management. Position reports directly to the Public Health Services Manager.
DUTIES and RESPONSIBILITES
Data Maintenance
Duties include, but are not limited to: Interprets WIC reports and tracks trends using analytical judgment in order to achieve program goals. Responsible for organizing and maintaining reports and data files. Reports and records are retrieved, reviewed for accuracy and completeness, and filed. Trains for and handles FL WiSE Super User duties.
Quality Assurance
Duties include, but are not limited to: Monitors WIC Program compliance with Florida WIC Procedure Manual DHM 150-24, the WIC System Data Manual and local policies.
Conducts inventories and prepares reports including equipment, special formula, EBT cards, office supplies and forms. Orders office supplies and forms, ensuring outdated materials are replaced.
Voter Registration – takes the lead to ensure compliance with Federal Voter Registration policy and local guidelines. WIC Vendors - distributes training materials, conducts compliance reviews and routine vendor contacts. Assists in conducting quarterly record reviews.
Client Services
Duties include, but are not limited to: Monitors master WIC department calendar and appointments in FL WiSE, to ensure processing standards are met and updates as needed.
Provides telephone coverage. Performs client eligibility determination, benefits issuance and program instruction as needed. Contacts WIC clients in person, by phone or via FL WiSE system. Refers clients to community partners for assistance. Interprets for Spanish clients with Nutritionists as needed.
Communication and Partnership
Duties include, but are not limited to: Frequently communicates with immediate supervisor. Actively participates in WIC team meetings and cross-functional workgroups. Maintains meeting minutes. Provides oral and written communication on information derived from WIC Program reports and program compliance reviews. Travel between Stuart and Indiantown sites may be needed.
Knowledge ,Skills and Abilities:
Ability to use computer systems, do basic math calculations. Bilingual (Spanish) ability preferred. Good communication skills verbally and in writing. Knowledge of office procedures and practices. Efficient organization skills; ability to organize and maintain files and manage data.
