ATTENDANCE CLERK Purpose Statement
The job of Attendance Clerk was established for the purpose/s of ensuring accurate attendance accounting within the district; providing general clerical support, information and/or direction as may be assigned; resolving attendance related issues; ensuring compliance with state reporting and documenting requirements; and conveying attendance and disciplinary related information to appropriate parties.
This job reports to Principal Essential Functions
Assists other personnel as may be required for the purpose of contributing to the efficiency and effectiveness of the work unit.
Communicates with students, teachers, parents, district employees, etc. (e.g. courtesy calls to parents, attendance history, parent letters, passes to students, etc.) for the purpose of resolving problems and coordinating activities and processes.
Maintains documents, files and records (confidential and non-confidential) (e.g. daily absences, disciplinary reports, extended absence reports, etc.) for the purpose of providing up-to-date reference and audit trail for compliance.
Operates automated student attendance system and other software as needed (e.g. recording data, generating cyclical reports, writing query requests for data, etc.) for the purpose of accurate tracking and documentation of student attendance information.
Prepares written materials (e.g. letters to parents, daily attendance roster, reports, memos, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
Researches discrepancies of attendance information and/or documentation for the purpose of ensuring accuracy and adherence to procedures prior to processing for action.
Responds to inquiries of staff, other educational institutions, the public, parents and/or students for the purpose of providing information and/or direction.
Supports assigned school personnel (e.g. answer phones, oversee students in office, special committees, etc.) for the purpose of ensuring the efficient operation of the site.

SKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill-based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including pertinent office equipment; preparing and maintaining accurate records; and utilizing pertinent software applications.
KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; understand written procedures, write routine documents, and speak clearly; and understand complex, multi-step written and oral instructions. Specific knowledge-based competencies required to satisfactorily perform the functions of the job include: business telephone etiquette; district and community activities; concepts of grammar and punctuation; and pertinent codes, policies, regulations and/or laws.
ABILITY is required to schedule activities; collate data; and use basic, job-related equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined and similar processes; and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals; work with specific, job-related data; and utilize specific, job-related equipment. Problem solving with data requires following prescribed guidelines; and problem solving with equipment is limited. Specific ability-based competencies required to satisfactorily perform the functions of the job include: adapting to changing priorities; communicating with persons of varied backgrounds; maintaining confidentiality; working with detailed information; working with frequent interruptions; working as part of a team; and setting priorities.
Responsibility
Responsibilities include: working under direct supervision using standardized procedures; providing information and/or advising others; and operating within a defined budget. Utilization of some resources from other work units is often required to perform the job's functions. Working Environment
The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling; and significant fine finger dexterity. Generally the job requires 75% sitting, 10% walking, and 15% standing. This job is performed in a generally clean and healthy environment.
