- JOB SUMMARYThe department secretary is the key person in establishing a first impression and conveying the CCMH mission of providing the best possible customer service. Performs all duties required to support and coordinate functions efficiently to meet and/or exceed customer expectations. Responsible for compiling patient’s medical record, coordinating patient’s tests and procedures with multiple internal and external sources. Completes patient order entry and maintains par level of patient and departmental supplies, and is an instrumental resource of patient information to physicians and staff.
- PRIMARY JOB DUTIES
- Processes physicians’ orders.
- Initiates and maintains patient records via computer and paper.
- Functions as a central communication source for the department, ancillary departments, patients, patient’s family physician, and external sources.
- Enters patient orders into the computer system.
- Maintenance of records for the department.
- Coordinates tests and procedures, ensuring requirements of preps, diets, and medications, and supplies, etc., are communicated. Prioritizes the scheduling of multiple tests and procedures.
- Schedules patient appointments and communicates the need for orders that are delayed.
- Enters orders in computer and reason for exam for appropriateness.
- Encourages cost savings for the department and organization.
- Provides excellent customer service, demonstrates professionalism and courteous telephone etiquette.
- Demonstrates flexibility, positive interpersonal relations in high volume, high traffic, and fast paced work environment.
- Complies with the hospital’s Corporate Compliance Program including, but not limited to, the Code of Conduct, laws and regulations, and hospital policies and procedures.
- Must be free from governmental sanctions involving health care and/or financial practices.
- Performs other duties as assigned.
- Review of patient records for information needed for procedures (i.e. labs, previous exams etc.)
- Performs duties in a timely manner.
- Confirms insurance information with the patient or physician’s office for authorization purposes.
- JOB SPECIFICATIONS
- Education: High school graduate or GED; courses in medical terminology or unit secretary training program; computer skills.
- Licensure: None.
- Certifications required: See Cardiopulmonary Resuscitation Certification Policy and Certifications/Education Requirements Policy.
- Experience: Previous clerical or unit secretary experience preferred.
- Essential Technical/Motor Skills: Hand/eye coordination, legible handwriting, computer skills, able to speak clearly, fine and gross dexterity.
- Interpersonal Skills: Must relate well with patients, families, hospital staff, physicians, and public.
- Essential Physical Requirements: Sitting for long periods of time. Requires lifting and carrying of supplies, typing, speaking coherently on the telephone.
- Essential Mental Abilities: Able to comprehend technical medical terminology. Able to input orders, obtain patient information in computer. Able to think quickly, handle various projects simultaneously with attention to accuracy, prioritization, patient request, detail, memory, problem solving, reasoning, ability to memorize routine assignments, computer mnemonics, all with little or no supervision.
- Essential Sensory Requirements: Corrected vision, hearing to normal range.
- Exposure to Hazards: OSHA CATEGORY II. Tasks that involve a potential exposure to blood, body fluids or tissues. Identified job duties do not include a reasonable anticipation for the potential contact with blood or contaminated body fluid but circumstances may occur which may result in the potential for exposure. Use of appropriate protective measures is required for employee (s) engaged in potential exposure situations.

- Hours of Work: 8- or 10-hour shifts, or otherwise as dictated by needs of the department. May include both day, evening hours, and holidays
