Direct Supervisor: Dispensary Manager

OVERVIEW

We are opening our first Dispensary under the name Ohio Provisions in Carroll, OH just 30 minutes outside of Columbus. Ohio Provisions is vertically integrated and this will be the first store in a series of stores that will be coming to Ohio in 2019. POSITION SUMMARY

Verifies identity of legally valid Qualified Patient (QP) or designated Care Giver (CG) prior to allowing entry into the sales area and enters QP data into Leaf Logix and Metrc systems. Maintains accurate records of QP/CG identification and registration documents. Manages QP/CG traffic flow. Answers phones, manages email inquiries, express ordering requests and responds to QP/CG inquiries. Assists QP/CG with completing Company Discount Plan (member loyalty program), if requested.

DUTIES/RESPONSIBILITIES/TASKS

  • Welcomes QP/CG as they enter the facility. Provides exceptional service for customers, answering any questions they may have and providing brief orientations when needed, for new clients, including regulatory excerpts, hours of operation information, etc.
  • Educates QP/CG on the processes of registration, renewals, lost registration documents, etc.
  • Obtains the appropriate and electronically copied documents from each QP and CG at every visit, ensuring validity of their identification and state registration card.
  • Records each visit using Metrc systems if necessary, ensuring accuracy of QP and CG information, and recording notes as needed.
  • Communicates with Patient Advocates (PA) to facilitate an orderly QP traffic flow to maximize sales and customer satisfaction.
  • Manages and responds to Express Order email requests.
  • Responds to in-person QP requests and resolves simple compliments or complaints through e-mail, and requests supervisor support.
  • Organizes desk space and maintains waiting room throughout the day, including light cleaning and trash removal.
  • Remains abreast of all applicable state and local laws and regulations, as well as documentation processes in accordance with The State Board of Pharmacy and Dispensary policies and procedures.
  • Complies with the Dispensary’s and Company's current policies and procedures and applicable state and local laws and regulations.
  • Maintains a strong understanding of medical cannabis, and related products and services offered at the Company’s Dispensary.
  • Provides educational materials and resources for QP and CG as needed; but does not provide medical/legal advice.
  • Records specific requests, preferences, and notes concerning QP and CG registration status using the Metrc system, as required.
  • Maintains awareness of QP input and suggested changes to improve service or product.
  • Assists QP/CG with preparation of documents as needed to register with the Board of Pharmacy, and documents needed to qualify for Company QP Discount Plan.
  • Ensures all QP and CG files are current and required documentation is on file and follows all guidelines issued by the State Board of Pharmacy.
  • Maintains QP database through entering new QP, membership, updating changes in information, and updating QP registration status.
  • Coordinates with the Dispensary Manager for office supplies and other items as needed.
  • Organizes and routes incoming mail.

ADDITIONAL DUTIES AS REQUIRED

  • Prepares QP and CG on-line/express orders, if assigned.
  • Routes media calls to the appropriate manager. (do not comment unless authorized to do so).
  • Assists managers with research, communications, and any other assigned project/task.
  • Assists in start-of-day and end-of-day procedures, open all computer programs necessary, organize waiting room, prepare paperwork, etc.
  • Assists in follow-up calls to new members, those not seen in 60 days, and expired members.
  • Participates in the facility discussions and provide suggestions for improving product availability, QP and CG satisfaction, and/or company policies and procedures as needed.
  • Attend staff meetings as scheduled.

  • Knowledge of medical cannabis policy and law.
  • Ability to make operational/customer service decisions as necessary, asking for management oversight when needed.

To work in this position, the successful candidate must pass a background check and obtain a Dispensary Support Employee License from the State Board of Pharmacy.

JOB SCOPE

Operates with direct supervision from Dispensary Manager or Assistant Manager. Follows established policies and procedures and contributes to the development of new concepts, policies, and procedures as necessary to perform job duties and tasks.
