- JOB SUMMARYThe department secretary works under the direction of the Office Supervisor and the Behavioral Health Services Director. The department secretary performs all duties required to support and coordinate departmental functions. Participates in achieving the department’s goal in meeting CCMH mission, vision and values.
- PRIMARY JOB DUTIES
- Verifies completeness of and maintains clinical records, including intake documents and signed releases of information.
- Uses computer to enter and retrieve data, to create and modify documents, and to schedule appointments for clinicians and doctors. In some cases, bill for physician’s services on a monthly basis.
- Functions as a central communication resource for the department, ancillary departments, patients, patients’ family physician, and external sources.
- Receives routes and responds to incoming telephone calls; greets and provides information to walk-in clients as indicated.
- Cross-trained to cover all support staff as necessary.
- Computes sliding fee for clients who provide income documentation.
- Issues receipts to clients making payments for services.
- Schedules clinician and physician’s appointment and make pre-appointment calls.
- Encourages cost savings for the department and organization.
- Models excellent customer service as first impression of the department.
- Complies with the hospital’s Corporate Compliance Program including, but not limited to, the Code of Conduct, laws and regulations, and hospital policies and procedures.
- Must be free from governmental sanctions involving health care and/or financial practices.
- Make copies as necessary
- Performs other duties as assigned.
- JOB SPECIFICATIONS
- Education: High school graduate or GED; courses in medical terminology or unit secretary training program. Two-years of college are preferred.
- Licensure: None.
- Certifications required: See Cardiopulmonary Resuscitation Certification Policy and Certifications/Education Requirements Policy.
- Experience: Previous clerical or unit secretary experience preferred.
- Essential Technical/Motor Skills: Hand/eye coordination, legible handwriting, computer skills, able to speak clearly, fine and gross dexterity.
- Interpersonal Skills: Must relate well with patients, families, hospital staff, physicians, and public.
- Essential Physical Requirements: Sitting for long periods of time. Requires lifting, carrying of supplies, typing, speaking coherently on the telephone.
- Essential Mental Abilities: Able to comprehend technical medical terminology. Able to input orders, obtain patient information in computer. Able to think quickly, handle various projects simultaneously with attention to accuracy, prioritization, patient request, detail, memory, problem solving, reasoning, ability to memorize routine assignments, computer mnemonics, all with little or no supervision.
- Essential Sensory Requirements: Corrected vision, hearing to normal range.
- Exposure to Hazards: OSHA CATEGORY II TASKS THAT INVOLVE EXPOSURE TO BLOOD, BODY FLUIDS, OR TISSUES. All procedures or other job-related tasks that involve an inherent potential for mucous membrane or skin contact with blood, body fluids, or tissues, or potential for spills or splashes of them, are Category II Tasks. Use of appropriate protective measures is required for every employee engaged in Category II Tasks.
- Hours of Work: Generally, 80 hours per two week pay period. The usual work assignment is for eight hours per day.
