Office of Sponsored Programs and the Office of Export and Secure Research Compliance are hiring for two Administrative Office Support Specialists. The Administrative Office Support Specialist(s) will serve as a member of the staff in the Office of the Vice President for Research and Innovation providing administrative support to reporting units for Sponsored Programs, Scholarly Integrity and Research Compliance, and Office of Export and Secure Research Compliance (OESRC).

The Administrative Office Support Specialist(s) will primarily provide high-level administrative support to team members and programs by projecting a positive image to the university community, guests, and government organizations. The incumbent will be responsible for calendar management, coordination and scheduling of meetings, conferences, and guest visits; maintaining electronic and paper files; making travel arrangements and processing reimbursements; greeting and receiving visitors; performing general office duties and special projects; coordinating communications; and other administrative duties in support of programmatic needs. Additional administrative responsibilities include serving as a backup to the primary administrative and operational lead for each office assigned in an effort to provide seamless support during times of high volume and absences.
The ideal candidate is highly self-motivated, professional, and capable of managing their workload in a fast-paced environment both independently and working with a team, as well as display discretion of sensitive and confidential activities.
OVPRI has two openings with one position supporting Sponsored Programs and Scholarly Integrity and Research Compliance both located in the North End Center on Virginia Tech’s campus, and the second position to support Office of Export and Secured Research Compliance located in the Corporate Research Center adjacent to the Virginia Tech campus in Blacksburg, VA. Exact work location will be confirmed upon hire.

Required Qualifications:
  • Demonstrated experience supporting senior management positions
  • Advanced computer skills with word processing, spreadsheets, and presentation software as well as with database management programs
  • Proficiency in collaboration and demonstrated ability to receive directions and work independently as needed
  • Demonstrated ability to use judgment and discretion where necessary
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
  • Exceptional interpersonal skills and strong customer-service orientation
  • Friendly and professional demeanor
Preferred Qualifications:
  • Associate’s degree, professional business training, or equivalent experience
  • Possesses credentials as a Certified Administrative Professional (CAP)
  • Administrative experience supporting a research-related environment.
