JOB SUMMARY:

Under the general supervision of the Office Manager, the Patient Coordinator manages the arrival and departure of patients seeking services at the dental practice. The Patient Coordinator is responsible for providing excellent customer service and setting the tone for a patient’s visit. Patient Coordinator must effectively communicate with the patients, parents, and clinical staff to collect patient information, schedule appointments, and relay information to Clinical staff. Patient Coordinator is responsible for gathering and entering all required patient information and ensuring that the information is on file and is correct. They are to ensure that a patient has been set up correctly in the system and that the Clinical staff have all necessary information to complete a patient’s treatment.


The Patient Coordinator sets the tone for a patient’s experience and is responsible for making the parent or guardian feel welcome as well. The Patient Coordinator may have to handle difficult patient or parent situations and is expected to do so tactfully. The Patient Coordinator may be stern and enforce office policies, but should never be rude or impolite. The Front Desk staff will oversee the patient’s appointment from beginning to end and must ensure that the process runs smoothly and efficiently.


PRIMARY JOB RESPONSIBILITIES:

  • Maintain clinical and administrative office policies and procedures.
  • Greet and welcome patients
  • Patient check-in and check-out
  • Communicate with patients, parents and visitors
  • Distribute and collect new patient paperwork
  • Gather required paperwork, forms, and documentation for an appointment and scan into patient’s file
  • Update patient information and enter new patient information
  • Set up New Patient files in Dentrix at least 24 hours prior to the appointment
  • Correctly set up patient insurance and collect insurance information
  • Collect copays and deductibles
  • Schedule return appointments
  • Verify insurance eligibility
  • Answer phones and call late patients
  • Distribute requested patient information
  • Provide referral information and communicate with referrals to schedule appointments
  • Assist Call Center in making calls and building the schedule
  • Specialty Day advanced confirmations for 1 week out
  • Appointment rescheduling
  • Distribute glasses and get parent’s signature (Optical offices)
  • Build Optical schedule (Optical offices)
  • Confirm Optical appointments (Optical offices)
  • Attend and Participates in Staff Meetings
  • Adhere to dress code
  • Other work related duties as assigned

JOB REQUIREMENTS:

  • Minimum of 1 year of experience working in a dental clinic or office; preferably working knowledge of the operations and administration of a dental clinic.
  • Bilingual in Spanish and English is highly preferred
  • Minimum of High School Diploma or Equivilent.
  • Current CPR certification.
  • Skill in organizing resources and establishing priorities.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to maintain quality, safety, and/or infection control standards.
  • Skilled in all dental insurances, billing and business operations a plus.
  • Skill in the use of computers, window-based operating environment.
  • Strong interpersonal skills and ability to work effectively at all levels in a collaborative team environment.
  • Ability to meet OSHA, CDC, ADA and HIPPA standards.

PHYSICAL DEMANDS:

  • Requires the effective use of office equipment including, but not limited to, computers, and printers.
  • Ability to sit at computer terminal for extended periods of time.
  • Ability to communicate via telephone.
  • Ability to communicate in an active office environment.
  • The office environment is active with high voice levels and interruptions that may challenge hearing and concentration.
