Job Description
Job Title: Receptionist/Accounts Payable
Department: Accounting
Reports To: Accounting Director
FLSA Status: Non-Exempt
Summary: Responsible for answering the telephone, screening and directing calls, all aspects of accounts payable, driver check in, and daily mail and deposits by performing the following duties.
Duties and Responsibilities include the following. Other duties may be assigned.
- Answers telephone and screens and direct calls.*
- Takes and relays messages.*
- Greets persons entering organization and direct persons to correct destination.*
- Processes will call orders.*
- Deals with queries from the public and customers.*
- Monitors visitor access and maintains security awareness.*
- Receives and sorts mail and deliveries.*
- Prepares daily bank deposit and maintains company controls and cash sheets.*
- Keeps all money collected in the safe or locked up at all times.*
- Provides general administrative and clerical support.*
- Prepares correspondence and documents.*
- Cleans and maintains reception area. *
- Performs all aspects of delivery driver check in.*
- Balances all cash and loads nightly.*
- Runs daily posting register.*
- Runs the month end procedure in the VIP system.*
- Verifies approval on all accounts payable invoices.*
- Codes invoices.*
- Updates and maintains vendor database.*
- Reconciles vendor statements.*
- Processes and pays accounts payable invoices weekly.*
- Maintains accounts payable files.*
- Maintains familiarity with in-house bank wire system.*
- Uploads point of sales pay checks to bank.*
- Processes and follows-up on rush items.*
- Maintains 1099 preparation.*
- Maintains special projects assigned.*
- Monitors and maintains office equipment.
Maintains and orders all office supplies

Math Ability:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer Skills:
To perform this job successfully, an individual should have knowledge of Microsoft Word, Microsoft Excel, VIP, Stratustime, Paychex payroll systems, and Internet Explorer.
Education/Experience:
High school diploma or general education degree (GED); and one to two years related experience and/or training; or equivalent combination of education and experience.

Hours:
Summer Hours are from 9 am to 6 pm Monday - Friday
Winter Hours are from 8 am to 5 pm Monday - Friday
Must be able to accommodate requirement for overtime hours (as needed)
