ABOUT YOU:

Provide executive support to the COO and provide office services support. The ideal candidate will have the ability to exercise good judgment in a variety of situations and be a strong communicator (both written and verbal). Liaison to the board of directors and senior management team. Ideal candidate will be able to take on projects from inception to completions with ability to work independently and with minimum supervision. Act as office manager and supervise two part-time receptionists.


Responsibilities:

  • Manage calendars for COO
  • Arrange busy travel schedule ensuring executive’s time outside the office is maximized
  • Plan meetings from invitees list to travel/hotel logistics
  • Provide supervision to two receptionists and manage their workload, including ordering office supplies, kitchen supplies, and maintaining/organizing copy/supply rooms
  • Code invoices for payment as needed and manage vendor relationships in the office services function
  • Additional duties as assigned

Qualifications

Required Qualifications:

  • Time-management a must when competing divisions/regions require assistance at the same time
  • Ability to work with minimal supervision
  • Microsoft Office skills
  • The ability to work a full shift, come to work on time, and work overtime as needed
  • The ability to work according to the necessary schedule to meet job requirements with or without reasonable accommodation is an essential function of this position
  • Excellent verbal and written communication skills
  • Strong customer service skills. Follow up consistently.


Preferred Qualifications:

  • 2 to 3 years of experience working in an office environment; supporting
  • Experience supporting multiple people
  • Prior experience with travel management /expense processing helpful
